Understanding roles and permissions: Owner, Admin, Member and Manager

Who can use this feature?

Available on Business and Enterprise plans.

Accessible to Owners and Admins on Web App.

A Fax.Plus team account has three roles - Owner, Admin and Member - plus an optional Manager position that comes from your account hierarchy rather than from the role itself.

Owner

The Owner is the person who created the account, or whoever it was later transferred to. There is always exactly one Owner, and the Owner cannot be removed from the account.

The Owner has full access to the account's users, numbers, billing and settings. Four actions are reserved for the Owner alone:

Admin

Admins can do everything the Owner can, apart from the four actions listed above. That includes inviting and removing users, assigning fax numbers, setting monthly send quotas, editing the hierarchy, and managing billing, security settings, SSO and integrations.

Note: Admins require the Enterprise plan. On the Business plan, the Owner is the only administrator. An Enterprise account can have up to 10 Admins.

Member

Members send and receive faxes using the numbers assigned to them, and manage their own contacts and settings.

The Users, Numbers and Analytics tabs, along with some account-wide settings, are visible only to Owners and Admins. Members do not see them. Where a Member tries to reach something that needs elevated access - changing the plan, adding credit, or editing account-wide settings - they are asked to contact their admin instead.

Manager

A Manager is not a separate role. Any user who has other users placed beneath them in the account hierarchy is a Manager of those users, whatever their role.

Managers can see the faxes of the users beneath them - both Inbox and Sent - which makes the hierarchy the way to give someone oversight of a team without making them an Admin.

Tip: Role and hierarchy are two separate things. The role decides what someone can administer; the hierarchy decides whose faxes they can see. A Member can be a Manager, and an Admin does not see anyone's faxes unless users are placed beneath them.

Note: Every user except the Owner can be a Manager. To give someone visibility of a team's faxes, place those users beneath an Admin or a Member in the hierarchy rather than beneath the Owner. We are looking at extending this to Owners in a future update.

How to change someone's role

  1. Log in to your Fax.Plus account, and go to the Users section.
  2. Find the user you want to change.
  3. Click More (three dots) next to their name.
  4. Choose Add as an Admin, Remove as an Admin or Set as Owner.

Note: Only the Owner can change roles. If you are an Admin and need someone promoted, please contact your account Owner.
