Once your admin has set up Fax.Plus for HubSpot, you can send a fax from a record, send faxes automatically from a workflow, and see replies, all inside HubSpot. This guide is for the HubSpot user. You need a Fax.Plus account on the same email your admin connected, and your account must be on the Business plan or higher to send.

Send a fax from a record
- Open the contact, company, deal, or ticket.
- In the Fax.Plus card, open the Send tab.
- Check the recipient. It fills in from the record's fax_number field. You can edit it or add numbers.
- Add your document (upload a file).
- Pick the number to send from if you have more than one.
- Select Send. You get a confirmation once the fax is on its way.
Send a fax automatically from a workflow
You can fax without anyone clicking, using the Send Fax via Fax.Plus workflow action.
- In a HubSpot workflow, add the Send Fax via Fax.Plus action.
- Set the Recipient (where the fax goes; this can come from a record field).
- Set the File source:
- an attached file on the record, or
- a cover-page template that merges in record fields (use {{field_name}} to pull values).
- Set On failure behavior, so a failed fax is handled the way you want.
- Save and turn on the workflow.
Track sent faxes
Open the Sent tab in the card to see faxes sent for this record, with each fax's recipient, date, page count, and status (sending, sent, or failed). A failed fax shows the reason. The status updates on its own.
See received faxes
Open the Inbox tab to see faxes received from the numbers on this record. It is filtered to that record, so you only see what is relevant.
How faxes show on the timeline
Every fax sent or received is logged to the record's timeline. How it logs depends on your HubSpot plan:
- On HubSpot Professional or Enterprise: as a Fax timeline event, with details.
- On HubSpot Starter or Free: as a Note.
Either way, the record keeps a history of the faxing activity. Your full fax history also stays in Fax.Plus.
